Platform Overview

How Property Management Software brings every part of your property business onto one cloud platform — built for Indian PG owners, hostels, and co-living operators.

Product Vision

Property Management Software is cloud-based Property Management Software sold as a monthly subscription. Owners in Bengaluru, Pune, Hyderabad, and across India use it to run paying guest accommodations, hostels, and rental properties without juggling WhatsApp groups, Excel sheets, and paper registers.

The platform earns recurring SaaS revenue while giving owners a professional operating system: tenants get self-service, staff get controlled access, and investors see a scalable product in a large, fragmented market.

A Typical Month for an Owner

  1. Log in with mobile OTP. Dashboard shows rent collected, pending dues, expenses, and open complaints.
  2. Warden Suresh enters meter readings for all rooms at Sunrise Boys PG (grid and inverter where applicable).
  3. System calculates utility charges; owner or accountant generates tenant invoices.
  4. Tenants like Rahul Kumar pay via UPI; cash payments are recorded manually with receipt notes.
  5. Priya (accountant) logs daily expenses — maintenance, groceries, internet — with bill photos.
  6. End of month: salaries for Lakshmi (housekeeping), security, and warden; advances auto-deduct from net pay.
  7. Review complaint closure rates and occupancy before planning next month's marketing.
Investor perspective

Property Management Software targets India's ₹8,000+ crore organized PG/co-living segment with a full-stack SaaS model: subscription ARR from owners, clear upgrade path as bed count grows, and low marginal cost per new customer once onboarding is standardized.

Why Subscription, Not One-Time License

Owners will subscribe on a monthly or annual basis when commercial plans launch. Tier limits (properties, beds, staff seats) encourage upgrades as the business grows. Super Admin activates subscriptions after payment verification — common for Indian B2B sales with bank transfer or UPI. Pricing is coming soon — see Subscription Plans.

Competitive edge: Unlike rent-only apps, Property Management Software covers utilities, payroll, expenses, complaints, and legal documents in one product — matching how Indian PG owners actually run their business.

What Success Looks Like

  • Owner: 90%+ rent collected by the 10th of each month with automated reminders.
  • Tenant: Pay rent and raise complaints from phone without calling the warden.
  • Staff: Clear tasks (readings, complaints) without access to owner's bank details.
  • Platform: Growing MRR, low churn, and referrals from satisfied multi-PG operators.

Property & Room Management

Complete digital control of your buildings — from one PG to a multi-city portfolio. Every floor, room, and bed tracked in real time.

What This Module Does

Property Management Software models how Indian PG and hostel businesses actually work: you do not rent "a room" to one person — you rent individual beds inside shared or private rooms across multiple floors. This module is the foundation of everything else — rent, tenants, meters, and complaints all connect to a specific bed in a specific property.

Real-life setup — Sunrise Boys PG, Bengaluru

Owner: Mr. Rajesh Sharma
Address: 14th Cross, Koramangala, Bengaluru
Type: Boys PG · 4 floors · 12 rooms per floor · 4 beds per room = 48 beds total
Current occupancy: 46 beds occupied, 2 vacant (Bed 204-C and Bed 312-A)
Rent range: ₹7,500 – ₹9,500 per bed depending on room (corner beds premium)

Hierarchy — How Properties Are Structured

RoomRoom number with sharing typeRoom 204 — 4-sharingElectricity meter usually per room
BedIndividual sleeping unitBed 204-COne tenant = one bed; prevents double booking

Step-by-Step — Setting Up a New Property

  1. Create property: Enter name, full address, city, state, contact mobile, property type (Boys PG / Girls PG / Co-ed / Hostel).
  2. Upload photos: Building front, room sample, mess hall, common area — used for tenant online discovery.
  3. Select amenities: Wi-Fi, food (Veg/Non-veg), laundry, AC, parking, CCTV, power backup — from master list.
  4. Configure complaint categories: Choose which issue types apply (Electricity, Plumbing, WiFi, Cleaning) and visit time slots for this PG only.
  5. Add floors and rooms: Single room add or bulk create for entire floor (e.g. rooms 201–212 on Floor 2).
  6. Generate beds: System creates Bed 204-A, 204-B, 204-C, 204-D automatically for 4-sharing room.
  7. Set rent: Default ₹8,500/bed for Floor 2; override Room 204 to ₹9,000 for larger windows.
  8. Go live: Vacant beds appear in tenant app; owner sees occupancy dashboard.

Property Types Supported

  • Boys PG / Girls PG — gender-specific listings for student market
  • Co-ed PG — separate wings or floors with rules documented
  • Hostel — larger capacity, often attached to colleges
  • Apartment / Flat — whole-unit / single unit rental mode for smaller operators

Room Configuration Options

SettingOptionsExample
Sharing typeSingle, Double, Triple, 4-sharing, 6-sharingRoom 204 = 4-sharing
Rent modePer bed OR per entire roomMost PGs: per bed

Room amenitiesAC, attached bath, balconyRoom 301 premium ₹10,000/bed
Bed statusVacant, Occupied, Reserved, Maintenance, Blocked204-C = Vacant (shown online)
Scenario — New tenant selects a bed

Rahul Kumar browses available beds at Sunrise Boys PG online. He sees Bed 204-C — Vacant, ₹8,500/month, 4-sharing, Wi-Fi included, electricity separate. He registers and selects this bed. System immediately marks 204-C as Occupied. No other tenant can book the same bed. Warden Suresh sees updated floor plan on his phone.

Floor-Wise Dashboard (Daily Operations View)

Owners and wardens see a visual layout of each floor:

  • Each room shows occupancy count (e.g. 3/4 beds filled)
  • Click room → see tenant names, rent amount, pending dues
  • Color codes: green = full, yellow = partial vacancy, red = maintenance
  • Export floor list for fire safety register or police inspection
Multi-property owner view

Mr. Sharma switches between three properties in one click:
Sunrise Boys PG — 96% full (46/48)
Green Valley Girls PG — 88% full (35/40)
Urban Co-living — 91% full (55/60)
He notices Green Valley below target and plans a referral offer for existing tenants.

Online PG Discovery (Marketing)

Properties can be listed publicly so tenants search by state and city before visiting:

  • Tenant sees: PG name, area, starting rent, available bed count, thumbnail photo
  • Does NOT see: owner personal data, other tenants, internal finances
  • Reduces empty beds — tenant books visit after shortlisting online

Rent & Deposit Settings

Per bed or room, owner records:

  • Monthly rent amount (can differ per bed in same room)
  • Security deposit (e.g. ₹5,000 — recorded for agreement PDF)
  • Notice period (30 days standard — used at checkout)
  • Rent revision history (when owner increases from ₹8,500 to ₹9,000 from July)

Maintenance & Blocked Beds

When Room 102 needs painting for 5 days, owner blocks Bed 102-A and 102-B without deleting history. Occupancy reports show sellable beds separately from blocked — accurate revenue forecasting.

Master Data (Platform Templates)

Standard lists maintained by platform admin — owner picks what applies:

  • Amenities (Wi-Fi, geyser, RO water, gym)
  • Complaint category names (Electricity → Meter issue, Fan not working)
  • Time slot templates (10 AM–12 PM, 4 PM–6 PM for maintenance visits)
  • "Looking for" types (Student, Working professional, Intern)

Business value: Accurate bed-level inventory stops revenue leakage from "ghost vacancies" and double bookings — common problems when running PGs on WhatsApp and registers.

Tenant Management

From discovery and OTP registration to checkout — complete lifecycle management for paying guests and hostel residents.

Tenant Lifecycle

Property Management Software supports the full journey: discovery → registration → verification → active stay → notice → checkout. Each stage has clear status for owner and tenant.

Registration

Rahul Kumar, B.Tech student from Patna, finds Sunrise Boys PG online. He logs in with mobile OTP, selects Bed 204-C, uploads Aadhaar and college ID, and adds father Mr. Vijay Kumar as emergency contact for payment SMS.

Mobile OTP Onboarding

No passwords to forget. Tenants verify Indian mobile numbers; OTP delivered via SMS/WhatsApp integration. Reduces fake accounts and matches how users already authenticate daily.

Documents & Verification

Aadhaar, photo, and optional college offer letter stored securely. Owner or delegated staff approves before check-in. Rejected documents request re-upload with reason.

Parent payment reminder

Rahul's rent is due on the 5th. SMS goes to Rahul and optionally to Mr. Vijay Kumar. Father pays via UPI link while Rahul is in class — rent marked paid without warden involvement.

During Stay

  • Tenant sees rent due, utility bills, and payment history.
  • House rules and mess timings accessible in portal.
  • Complaints with photos (leak, AC, Wi-Fi) tracked to resolution.
  • Agreement PDF available for download anytime.

Checkout Process

  1. Tenant or owner initiates notice (15/30 days per agreement).
  2. System calculates pending rent, utilities, and deposit adjustments.
  3. Final inspection recorded; damages as expense or deduction.
  4. Bed 204-C marked vacant; occupancy analytics update instantly.
  5. Tenant record archived for legal retention; GDPR-style export on request.
Business value: Faster fill rates — vacant beds visible online; fewer phone calls to warden for rent balance questions.

Rent & Payment Collection

Track every rupee — monthly rent, utilities, online UPI payments, cash at office, overdue follow-up, and owner collection dashboard.

What This Module Does

The payment system is the financial heart of Property Management Software. It answers three questions every PG owner asks daily: Who paid? Who still owes? How much did I collect this month? Everything links to a specific tenant and bed — no manual Excel reconciliation.

Real-life month — Sunrise Boys PG, June 2026

Total expected rent: 46 occupied beds × avg ₹8,600 = ₹3,95,600
Collected by 10 June: ₹3,89,200 (38 tenants paid)
Pending: 8 tenants (₹68,800)
Overdue (7+ days): 3 tenants — Rahul's roommate list flagged for warden follow-up
Mr. Sharma's view: One dashboard, all numbers, no WhatsApp screenshot hunting

How Monthly Rent Is Created

  1. Each occupied bed has a fixed monthly rent (e.g. Bed 204-C = ₹8,500).
  2. On the 1st of each month, system creates a rent due record for every active tenant.
  3. Utility charges from meter readings are added as separate line items (e.g. +₹416 electricity).
  4. Total due = rent + utilities − any credits or adjustments.
  5. Status starts as Pending until payment is recorded.

Payment Methods Supported

MethodHow it works in the systemReal example
UPI / Card (Razorpay) Tenant pays from app or link; payment auto-confirmed; receipt generated Rahul pays ₹8,916 (rent + electricity) on 5 June via PhonePe — status → Paid instantly
Cash at PG office Warden or owner records cash with date and optional note Tenant Vikram pays ₹8,500 cash to Suresh on 3 June — Suresh records in app same day
Bank transfer (NEFT/IMPS) Owner marks paid after verifying bank SMS / statement Parent of tenant sends ₹25,500 for 3 months — owner enters reference number
Partial payment System tracks amount paid vs remaining balance Tenant pays ₹5,000 now, ₹3,500 next week — status = Partial until full

Owner Payment Dashboard

One screen for the entire business (or filtered by property):

  • Total collected this month — all properties combined
  • Breakdown by property — Sunrise vs Green Valley vs Urban Co-living
  • Breakdown by room — which rooms have most pending dues
  • Collection rate % — compare June vs May performance
  • Pending list — tenant name, bed, amount, days overdue
  • Staff payroll summary — salaries paid vs pending (linked module)
Scenario — Overdue follow-up

Three tenants at Sunrise Boys PG are 7+ days overdue (total ₹25,500). System sends WhatsApp reminder on day 3 and day 7. Warden Suresh gets a task list with room numbers. He visits Room 208 and Room 115 — two pay on the spot (cash recorded). One tenant requests 5-day extension — owner adds note on record.

Invoices & Receipts

Professional documents build trust — especially with parents paying from another city:

  • Monthly invoice — line items: rent, electricity, water, other charges
  • Payment receipt — after successful payment with date, mode, transaction ID
  • PDF download — tenant or owner can share on WhatsApp
  • Property details — PG name, address, owner GSTIN if registered
Rahul's June receipt

Rent: ₹8,500 · Electricity (32 units): ₹416 · Total paid: ₹8,916
Mode: UPI · Date: 5 June 2026 · Receipt #INV-2026-06-0442
Sent automatically to Rahul's father's WhatsApp.

Online Payments (Razorpay) — Business View

When enabled, tenants pay via secure payment gateway:

  • Money settles directly to owner's bank account (not held by platform)
  • Supports UPI, debit/credit cards, net banking
  • Payment confirmation is automatic — no manual marking needed
  • Failed payments show clearly — tenant can retry

Rent Record Statuses

WaivedOwner forgives amount (goodwill/discount)₹500 late fee waived for loyal tenant

Monthly Collection Workflow

  1. 1st June: Rent dues auto-created for all 46 tenants at Sunrise PG.
  2. 2nd June: Meter readings entered — electricity added to each tenant invoice.
  3. 3rd June: Bulk WhatsApp reminder: "Your June rent of ₹X is due."
  4. 5th June: Due date — 28 tenants pay online; 6 pay cash at office.
  5. 8th June: Second reminder to 12 pending tenants.
  6. 15th June: Owner reviews overdue list with warden; personal follow-up.
  7. 30th June: Accountant Priya exports collection report for records.

Integration With Other Modules

  • Property module — rent amount comes from bed configuration
  • Tenant module — payment linked to tenant profile and bed
  • Meter module — utility charges auto-added to monthly bill
  • Expense module — owner sees income vs expenses for true profit
  • Checkout module — final settlement calculated when tenant leaves
For property owners: Most PGs recover the software cost from preventing just 1–2 missed rents per month. Digital receipts also reduce disputes with tenants and parents.

Expense Tracking

Record every rupee spent on maintenance, utilities, salaries, and supplies — with categories, proofs, and monthly reports.

Why Expense Tracking Matters

Owners who only track rent see half the picture. Property Management Software captures operating costs so true profit per property is visible — critical when investors ask for unit economics.

Expense Categories

StaffNon-payroll bonuses, tipsOwner
Daily entry

Priya (accountant) logs ₹2,400 for plumber repair in Room 312, attaches bill photo from phone, tags Sunrise Boys PG. Mr. Sharma approves weekly batch — expense hits June P&L immediately.

Proof & Audit Trail

Photo of bill or invoice stored with amount, date, payment mode (cash/UPI/credit). Reduces disputes with partners and supports tax filing with CA.

Month-end review

June expenses: ₹1.1L maintenance, ₹45K groceries, ₹18K internet across three properties. Mr. Sharma sees Green Valley spending 12% more on food than Sunrise — investigates mess vendor contract.

Reports

  • Monthly and yearly by category and property
  • Compare expense ratio to rent collected
  • Export for Google Sheets or CA
  1. Configure categories (defaults provided).
  2. Staff or accountant adds expense with amount and proof.
  3. Owner reviews optional approval queue.
  4. Reports feed into dashboard net income view.
  5. Year-end export supports ITR and investor updates.
Permission design: Mess manager can add food expenses but cannot delete owner's historical records.

Meter & Utilities

Dual-meter electricity billing (grid + inverter) common in Indian PGs — fair per-tenant utility charges from room readings.

Indian PG Reality: Two Meters

Many Bengaluru PGs have BESCOM grid plus inverter during cuts. Tenants expect transparent split. Property Management Software records both readings per room and allocates cost by sharing ratio or per bed.

Reading Workflow

Monthly reading

Warden Suresh walks Floor 2 on the 28th: Room 204 grid 45210→45380 kWh, inverter 1200→1245 units. System calculates ₹420 per bed for June utilities at Sunrise Boys PG.

StepWhoOutput
Enter readingsWarden / staffkWh consumed per room
Apply tariffSystem₹/unit from owner settings
Split by bedSystemPer-tenant utility line item
Invoice tenantOwner / autoAdded to rent or separate UPI
Dispute avoided

Rahul questions high bill. Owner opens reading history: grid + inverter photos attached by Suresh. Rahul sees exact dates and units — pays without argument.

Tariff Settings

Owner sets grid rate, inverter rate, and common-area load sharing. Fixed monthly caps optional for premium rooms with AC.

Water & Other Utilities

Water tanker or canister costs logged as property expense or allocated by formula. Gas for mess tracked separately from tenant electricity.

  1. Define meters per property (grid, inverter, water).
  2. Staff enters end-of-month readings with optional photo.
  3. System calculates room and per-bed charges.
  4. Utility dues appear in tenant portal with rent.
  5. Collection tracked in finance module; overdue reminders apply.
Differentiator: Dual-meter support is rare in generic rent apps — Property Management Software built for South Indian PG operations.

Payroll & Salary

Manage housekeeping, security, warden, and cook salaries — advances, deductions, and downloadable salary slips.

Staff Payroll in PG Operations

Typical Sunrise Boys PG staff: warden, 2 housekeeping, 1 security, 1 cook. Salaries often include cash advances mid-month. Property Management Software tracks advances and deducts at payout.

StaffRoleTypical Salary
SureshWarden₹22,000
LakshmiHousekeeping₹14,000

June payroll

Mr. Sharma runs payroll on 30 June. Lakshmi had ₹3,000 advance on the 10th — net pay ₹11,000. Salary slip PDF sent on WhatsApp. Total payroll ₹70,000 across Sunrise staff hits expense reports.

Advances & Deductions

  • Record advance with date and reason
  • Auto-deduct from next salary
  • PF/ESI fields for compliant employers (optional)
  • Bonus line items for festivals
Multi-property staff

One security guard covers Sunrise and Green Valley. Owner allocates 50% salary cost per property for accurate per-site P&L — investor-ready reporting.

Salary Slips

PDF slip with earnings, deductions, net pay, and property letterhead. Staff trust increases; labour disputes decrease.

  1. Add staff profile with role and base salary.
  2. Record advances during the month.
  3. Generate payroll draft on month end.
  4. Owner approves and marks paid (cash/bank).
  5. Slips distributed; amounts flow to expense analytics.
Growth plan: Payroll included from Growth tier — Starter owners upgrade when hiring third employee.

Staff & Employees

Invite wardens, accountants, and managers with granular permissions — 40+ controls so delegation is safe.

Employees vs Payroll Staff

Employees log into Property Management Software with mobile/email and permissions. Payroll staff may only appear in salary module (e.g. part-time cook). Both matter for operations and cost tracking.

Permission Philosophy

Permissions are grouped by module: Properties, Tenants, Finance, Expenses, Meters, Complaints, Payroll, Reports, Settings. Owner toggles fine-grained actions (view, create, edit, delete).

Warden Suresh

Permissions: view tenants, assign beds, meter readings, update complaints. Cannot see owner subscription, delete properties, or export bank reports. Suresh's daily work is faster; risk of fraud is lower.

Common Team Structures

RoleTypical Access
Accountant (Priya)Expenses, rent reports, reconciliation
Warden (Suresh)Meters, complaints, check-in
Front deskTenant registration assist
Regional managerMulti-property read-only dashboards
Removed employee

Former front-desk staff leaves job. Owner disables login instantly — no password change drama. Audit log shows last activity date for security review.

Audit & Accountability

Critical actions log who changed rent, approved checkout, or deleted expense. Owners settle internal disputes with facts.

  1. Owner invites employee via mobile number.
  2. Employee accepts and sets up OTP login.
  3. Owner assigns permission template or custom set.
  4. Employee works within scope; upgrade needs owner approval.
  5. On exit, owner revokes access same day.
Enterprise: Unlimited employees for large operators; Starter limited to 2 to match solo-owner reality.

Complaints & Support

Structured maintenance tickets from tenants — assign staff, track SLA, and improve satisfaction scores.

Why Not WhatsApp Groups?

Complaints in chat groups get lost, have no priority, and no closure proof. Property Management Software tickets have ID, category, photos, assignee, and status — professional support at PG scale.

Complaint Categories

  • Plumbing / leakage
  • Electrical / AC / fan
  • Wi-Fi / internet
  • Cleaning / housekeeping
  • Food / mess quality
  • Noise / neighbour issues

AC ticket

Rahul Kumar raises urgent AC complaint for Room 204. Ticket #1042 assigned to electrician Raju. Suresh updates status: In progress → Resolved in 6 hours. Rahul rates 4 stars — owner sees SLA met.

Owner insight

June: 28 complaints at Sunrise, 25 resolved, 3 overdue. Top category: Wi-Fi. Mr. Sharma upgrades router contract — data-driven ops instead of guessing.

Tenant & Staff Experience

Tenants attach photos and see status timeline. Staff get notifications for assigned tickets. Owners see heatmap by property and category.

  1. Tenant submits complaint with category and photo.
  2. System notifies warden and owner based on rules.
  3. Assignee updates status and notes spare parts used.
  4. On resolve, tenant confirms or auto-closes after 48h.
  5. Monthly report feeds staff reviews and vendor decisions.
Retention: Fast complaint resolution correlates with tenant renewals — measurable NPS per property.

Verification & Agreements

Tenant verification workflows and rent agreement PDFs — compliance-friendly for Indian PG operators.

Legal & Trust in PG Business

Police verification and written rent agreements are standard expectations in Karnataka and other states. Property Management Software digitizes collection, storage, and agreement generation without replacing legal advice.

Verification Workflow

  1. Tenant uploads Aadhaar, photo, and optional employer/college ID.
  2. System validates file type and completeness.
  3. Owner or warden approves or requests re-upload.
  4. Verified badge shown on tenant profile.
  5. Export pack for police station format when required.
Rahul's verification

Rahul uploads Aadhaar mask (front) and college ID. Suresh verifies within 2 hours. Mr. Sharma exports monthly tenant register for local station — one click, all beds listed with ID numbers.

How property owners will access the software — subscription model explained. Commercial pricing coming soon.

Pricing Coming Soon

We are not publishing fixed prices today. Plans and rates will be announced at commercial launch. Contact us for early access and pilot programmes.

How the Subscription Model Works

Property Management Software is sold as a monthly or annual subscription to property owners. Tenants do not pay the software company — they pay rent to the owner. The owner pays to use the platform that helps them manage everything.

Simple analogy

Like paying for internet or accounting software — the PG owner subscribes to run their business digitally. Bigger portfolio = higher tier plan with more properties, beds, and staff seats.

Who Fits Each Tier — Real Examples

Starter — Single property operators

Example customer (planned tier)

Ms. Ananya Reddy — owns one 24-bed Girls PG in Hyderabad. She is the owner and hires one warden. She needs tenant registration, rent tracking, and basic reports. Starter tier is designed for this profile.

Growth — Multi-property owners

Example customer (planned tier)

Mr. Rajesh Sharma — Sunrise Boys PG, Green Valley Girls PG, Urban Co-living in Bengaluru (~120 beds). He has accountant Priya, warden Suresh, and 4 operational staff. Growth tier covers multi-property dashboard, payroll, and team permissions.

Enterprise — Chains and investors

Example customer (planned tier)

StayEasy Co-living Pvt Ltd — 15 properties across Bengaluru, Pune, and Chennai. Central HR and finance team. Enterprise tier planned for unlimited scale, onboarding support, and board-level reporting.

Owner Subscription Journey (When Launch Opens)

  1. Owner registers with mobile OTP and completes business profile.
  2. Views available plans (Starter / Growth / Enterprise) with published pricing.
  3. Selects plan matching property count and bed capacity.
  4. Pays via UPI, card, or bank transfer — subscription activated.
  5. Creates first property and begins adding rooms and beds.
  6. When business grows beyond plan limits, system prompts upgrade.
  7. Renewal reminders before expiry — data always preserved.

What Subscription Limits Control

  • Number of properties owner can create
  • Number of login employees (delegated managers)
  • Operational staff records (optional cap on lower tiers)
  • Premium support level

Tenants and day-to-day rent transactions are not limited by subscription — limits protect platform cost while keeping the product accessible to small PG owners.

Super Admin Role

Platform operators configure plan catalog, activate subscriptions after payment verification, and support owners during onboarding. This is separate from the PG owner's day-to-day property work.

Current status: Product features are built and documented. Commercial pricing and public plan purchase will be announced at launch. Early pilot partners may receive custom onboarding — enquire directly.

Frontend Applications

Planned and evolving user interfaces — owner web dashboard, tenant mobile experience, and admin console.

Product Surfaces

Property Management Software delivers value through focused apps per role. All connect to the same secure backend so data is always in sync.

Owner Dashboard

Responsive web app for desktop and tablet — morning command center. Charts for collection, occupancy, expenses, and complaints. Works in Chrome on any laptop; no install required.

Owner UX

Mr. Sharma switches property from dropdown: Sunrise vs Green Valley. Rent chart animates to selected site. He prints monthly PDF for partner meeting in 30 seconds.

Tenant Experience

Mobile-first design — large buttons, OTP login, UPI deep links. Works on ₹8,000 Android phones common among students. Hindi/English labels planned for wider adoption.

Onboarding

Rahul bookmarks tenant portal on home screen — feels like an app without Play Store delay. Push-less reminders via SMS/WhatsApp until native app ships.

Design Principles

  • Minimal clicks for pay rent and raise complaint
  • Accessible fonts and contrast for outdoor screen use
  • Offline-tolerant forms where possible (sync when online)
  • Consistent Property Management Software branding — trust signal

Roadmap (Business View)

  1. Phase 1: Owner web + tenant mobile web (current focus)
  2. Phase 2: Native tenant app for notifications
  3. Phase 3: Owner native app for quick approvals
  4. Phase 4: White-label tenant app on Enterprise
For clients: You can demo full flows in browser today; app store releases are enhancement, not blocker.

User Roles & Access

Every person in the property ecosystem — owner, tenant, employee, and platform admin — gets the right tools and nothing more.

Role Overview

Property Management Software separates responsibilities so owners can delegate safely. A housekeeper never sees subscription billing; a tenant never sees another tenant's Aadhaar. Permissions are designed for real Indian PG operations.

Owner — The Business Head

Owners register with mobile OTP, complete KYC (Aadhaar, PAN, bank proof), and choose a subscription plan. Once approved, they create properties, invite staff, and see consolidated analytics.

Owner dashboard morning

Mr. Sharma opens Property Management Software at 8 AM: Sunrise Boys PG shows 46/48 beds occupied, ₹3.8L collected in June, 4 pending rents, and 1 urgent complaint (AC in Room 204). He assigns the complaint to maintenance staff without visiting the property.

Tenant — Self-Service Guest

Tenants discover a PG online or receive an invite link. They verify mobile OTP, upload photo and Aadhaar, select an available bed, and accept house rules. During stay they pay rent, view utility bills, and raise complaints.

Tenant journey

Rahul Kumar joins Sunrise Boys PG in June: registers for Bed 204-C at ₹8,500/month, adds father's number for payment reminders, pays rent on the 5th via UPI, and raises a complaint about Wi-Fi — tracked until the router is reset.

Employee — Delegated Operations

Owners create employees with specific permissions: e.g. "record expenses only," "enter meter readings," "view complaints but not salaries." This mirrors how wardens and accountants work on-site without full owner access.

Common Permission Bundles

  • Warden Suresh: Meter readings, complaint updates, tenant check-in — no financial reports.
  • Priya (accountant): Expenses, rent reports, payment reconciliation — no staff deletion.
  • Front desk: Tenant registration assist, bed assignment — no payroll.

Super Admin — Platform Operator

Super Admin approves new owners, configures subscription plans, activates subscriptions after payment, and monitors platform health. This role is for Property Management Software staff, not PG owners.

Security principle: Least privilege by default. Every sensitive action (refund, delete tenant, change rent) is owner-only unless explicitly delegated.

How Roles Interact

  1. Super Admin approves Mr. Sharma's owner account and Growth plan.
  2. Owner creates Sunrise Boys PG and invites warden Suresh with meter + complaint permissions.
  3. Tenant Rahul self-registers; warden confirms check-in and bed assignment.
  4. Accountant Priya records expenses; owner reviews monthly P&L.
  5. Tenant pays rent; owner sees dashboard update; no manual Excel entry.
